AFF Meeting Minutes for 12/30/2011

In attendance: Sheila Campbell, Mitzi DeMont, Dana Lysons

Meeting minutes from 11/13/2010 were read by Dana

Treasurer Report was read by Dana; $509.12 in checking and $464.51 in savings.

Dana is now officially added to the checking account at Coloramo.

We will be cashing in our Rib City Grill Show Us Your Colors tokens for 2011 at Alpine Bank Saturday the 31st. We have $6.50 in tokens.

Our post office has been officially closed as of December 13th, 2011. We found it was not worth keeping open with how little mail we were receiving there.

Agenda for meeting in January 29th 2011 (which was cancelled) was read by Dana. Led some insight into issues we need to address this year and some will be discussed at next meeting.

Yard Sale for 2012 is scheduled for Memorial Day weekend, May 26th and May 27th. Sheila's Mom said we may be able to use the spare rooms at the clinic for storage of donated items. With our last organizer, Vicky, being ill, the three of us will be organizing the Yard Sale this coming year. Yard Sale will be held at the Collbran clinic again. Dana will design a new flyer to post at as many locations as possible. We will contact local publications to ask about donating advertising space for our cause (The Nickel, The Daily Sentinel, The Source, GV Magazine, The Free Press, etc. ) Dana will contact Kitty Nicholason to find out if we can advertise in GV Magazine. Advertising will begin in early April. Will make contacts in March.

We will see if we can find Delta and Montrose publications here in GJ to locate grass hay, as well as advertise for the yard sale, perhaps.

As of December 30th 2011 we have welcomed a new horse to our rescue. We have the brand inspector and relinquishment form in hand. She is an Arab/Quarter Horse cross. Her current name is Snoopy, but we will be changing her name in the very near future. For community involvement we will post a fun poll on Facebook, Twitter, and website for our supporters to vote for her new name.

Sheila will be videoing Macha lunging soon to document the difference between when she first got her to now. In the beginning she tripped a lot as her hooves were too long and now she doesn't trip at all. This information is essential to help us succeed in our goals!

Mitzi will contact Cecilia at the CACVT to see if we can advertise free in their newsletter. Dana will be sure to include Western Slope location in the ad since it is a state wide publication.

Our newsletter will now be twice a year, March and September. Newsletter ideas will be brainstormed in next meeting. Along those same lines we will be including a news feed on the websire where we can take information from there and include it in our bi-annual newsletter.

We will be attending the Farmer's Market this year in June and July. Sheila will email the lady to ask her about space availability.

Dana will be going through "Fundraising for Dummies" to glean more fundraising ideas for us, and discuss at next meeting.

In May, we will be looking at attending the Fruita's Farmer's Market sometime between June and September.

Rim Rock Rodeo is another great horse venue for us and Mitzi will be checking into the possibility of getting a booth there and if that's even an option.

As for the Mesa County Fair for 2012, we will be looking at obtaining details to find out what we can do to possibly rent a booth or space for sometime in the future, perhaps 2013.

We are desperate for grass hay. Shortly after Mitzi left we received a response email from Cheri who emailed us and asked us where we were located, number of horses we have, if we adopt them out, and if we have a website. She has "a ton" of late cutting grass that she would like to donate. Sheila and I will be going by there tomorrow to take a look at it and hopefully bring it home! Yaaay!!! If it's not good we'll buy co-op hay again and search for ads in the Delta and Montrose publications if we can find any. For hay next year, we will be contacting Sean EARLY who had the best hay for Rosie and now our new rescue, Snoopy-soon-to-be-renamed!

We are tentatively planning a Chili's Night out for February and will advertise more Rib City Show Us Your Colors program tokens. In addition we will be searching for other corporations who have similar non-profit programs to benefit our cause.

Our first Easter Egg Ride will be in 2013 as it's now too late to reserve BLM land or other land for the event. Instead we will plan for a game day in the fall of 2012.

Dana is in the process of redesigning the business cards with a fresh logo. Dana will also be redesigning the website to match the new colors of greens and blues. Letterheads and other marketing material will be revamped for next year for a new look and feel still keeping it casual, and welcoming.

After reading some of "Fundraising for Dummies", it is recommended that we come up with a case statement. Dana began writing one December 29th, and read some of it. More details will be discussed about its use and how it can help us with everything from marketing to writing and requesting grants.

For every donation we receive, a hand written thank you card, a small sample of a crafty item, a brochure, a business card, and a little blurb about where they can purchase more crafty items, and receipt for the donation will be given to each supporter who donates cash or a physical something. Christmas 2012 we will begin sending out Christmas cards to our supporters.

Ideas for more crafty items were discussed. Sheila is in the process of making a crocheted pillow. We will be experimenting with making stuffed horses based on the pattern my mom designed. More ideas will be discussed.

Jeanette, friend of LaVon Hoffman who contacted us about taking Snoopy, sent us a $25 donation towards hay. We will be sending her a hand drawn ACEO card, a thank you note, receipt, etc for her kind support. We are grateful to have such caring people to help our cause!

Our next meeting will be in January between the 19th and the 29th.
