AFF Meeting Minutes 12/5/09
In attendance were Sheila Campbell, Mitzi DeMont, Heather Redding and Dana Lysons by way of cell phone.
First news was we now have a P.O. Box (#208, Fruita CO 81521) and a bank account with Coloramo. Checking has $95 and Savings has $50.
This being the Parade of Lights night- we did not go since it was too cold, but we did paint shirts instead. Painting shirts went well, few glitches to work out but overall very well done!
Mitzi had an idea to ask Denise Mikita from the CACVT if we may have a booth or table out in front of the Spring Conference the weekend of April 16th here in Grand Junction. This would help us get our word out! Mitzi will let us know when she hears back from Denise.
Vegas- horse down by Ignacio- discussed. We will wait until Jan. 5th 2010 to give Jane some time to find him a home, then make a decision. Sheila will keep in touch with Jane.
Heather called IRS on 501(c)(3) application, there are a few options for filing: 1. wait until next year, when they will have an online filing, for which the fee will be dropped to $200; 2. file next year when the fee raises to $350; or 3. finish the application and file this year, and the fee will stay at $300, as well as not having to fill out as much info on the application since it is our first year. As for the fee, Heather has volunteered to pay for it with her credit card, and use her planned monthly donations next year to pay this off. Also, Sheila's parents offered loan AFF the fee. Everyone unanimously decided that the ideal option is to file this year. Need to finish filling out application. A meeting for Heather, Sheila and Dana has been tentatively set for Dec. 13th, 2009 to accomplish this.
Mitzi has begun putting together donation log spreadsheets for the boxes so we may keep track of what we have. She will email them to everyone once she gets them finished.
Need to build or create adoption and surrender forms and contracts, Heather and Dana are to work on this.
At our next meeting we will focus our attention on the Easter Egg Hunt Ride in April.
Next meeting has been set for January 9th, 2010 after sundown at Sheila's.
