MEETING MINUTES 07/25/2010

AFF Meeting Minutes for 7/25/2010

In attendance were Sheila Campbell, Mitzi DeMont and Dana Lysons by phone.

Treasurer report given by Dana: we have $936.37 in checking and $364.05 in savings.

Sheila reports that we made about $70.00 at the last Farmer's Market.

Sheila and Dana have reported that the Newsletter was released for the summer season at the end of June. No email feedback yet, but word of mouth feedback was very positive - i.e. Sheila's mom and friend loved it!

Sheila reports that Rosie's remaining tattoo balance of $262.50 has been paid off

Sheila hasn't obtained anymore hay yet, but has contributed 2 of her bales in to help which AFF will then replace when we are able purchase more hay.

Sheila and Dana report that we have received 3 inquiries about adopting Rosie. RM in Colorado , DS in Wyoming and RF from Texas. We will be working on our adoption paperwork this week to send to CO and hopefully be able to meet with them this weekend (31st and 1st) to meet Rosie. If the adoption fails with her, Dana will post additional ads as necessary to different websites and we will be in touch with Diana Schmid in Wyoming.

Dana is working on the layout for online gift shop to display t-shirt colors, horse hair jewelry, pine needle baskets, artwork and other crafts we may sell to raise money for the rescue. Sheila will be providing pictures of horse hair jewelry to Dana for the website also.

Sheila asked Mitzi if she would go to Murdoch's and purchase a liability sign for AFF. She agreed and will do that this coming Monday.

Sheila reported that she did the annual report for the Secretary of State and mentioned it was a simple process. All they needed was an update on AFF to make sure all current information has not changed. Sheila also updated her name with the Secretary of State for CO, and but we still need to do the same for the IRS.

Plateau Valley Clinic Yard Sale report was an absolute AMAZING success! We made $1100.00. Thank You's notes to Sheila's mom Joy, and to Vicky who organized the event have been sent. Dana will draw portraits of our Yard Sale volunteer's dogs along with Thank You's to Plateau Valley Clinic where the event was held.

Chili's Night-- Chili has a program called Chili's is Fired Up About Helping Out. As a non-profit we pick a night for the event, and they provide us with one hard copy and one electronic copy of the flyer for the event. We then make copies of the hard copy and distribute to as many of our friends and acquaintances as possible. The guests that dine on the night of the event that include their flyer for the event present there flyer to the waitress/waiter and pay like normal. The end of the night they add up all checks with flyers and they donate 10% of the checks to us. So what night do we do it? We all agreed towards Tuesday August 10th. Sheila will talk with the manager of the store to find out if we can do the same for out of state Chili's, specifically where Dana lives. We will give our friends and acquaintances a two week notice prior to August 10th.

Next Yard Sale set for September 4th & 5th at Mitzi's house. Dana will work on flyer with info and advertising.

Fall newsletter will be released in September the week prior to Dana's visit starting September 17th.

Sheila wants to make little stuffed horse's to sell. Mitzi will make bigger pine needle baskets.

Dana asked who will be our official vet for the rescue and Sheila mention Dr. Carter as our main equine vet. She will contact her to ask her. Dr. Carter is a conventional vet. We will also utilize the expertise of Dr. Cindy Wallis who is a more Natural Holistic oriented vet.

Dana reports that she got an email from American Horse Protection Agency out of Washington D.C. Gives a list of all the other Equine Rescues for the whole US and Canada and UK. She will email it to Sheila and Mitzi.

The process for adopting Rosie shall go as follows:
. Adoption Form
. Mandatory rules for adopters to follow through with the care of their new adopted equine.
. Potential adopter's need to make a first visit to meet the equine they wish to adopt and so we can assess their match.
. They can either pay by cash, money order or cashier's check.
. After the first visit to see animal at Rescue, we make the second visit to see where the animal will potentially be living if they do adopt.
. Need to meet strict guidelines for proper care of a foundered equine.
. Need plenty of space and shade, plenty of clean water, proper feeding, limited to no green pasture grazing depending on individual equine needs.
. Suggest they buy 2-3 bales of hay to acclimate over to their hay.
. Make a list of barefoot trimmers for that area so they will know who to call.
. Need list of 3 references; At least one from a professional vet, and 2 from non relations.
. Vet info, look into background of adopting.
. Schedule subsequent visits after successful adoption with the first scheduled 3 months from adoption date to evaluate how adoption is going, second check-up visit will be in another 6 months and then once more the following year. Throughout the life of the adoption and with notification the owner must allow us to visit at any time to follow through. In the event the adopter has violated any rules we reserve the right to confiscate the adopted equine as we deem necessary with no notice.

We discussed the Easter Egg Ride for April of 2011 and revisited the things we need to do make that happen. We will be contacting the BLM and apply for permit starting in September. Mitzi will print out application for Sheila.
