AFF Meeting Minutes May 22, 2010
In attendance were: Sheila Campbell, Mitzi DeMont and Dana Lysons by way of web cam.
Mitzi read minutes from 4/15/10. Treasurer report: there is $157.66 in checking and $40.00 in savings.
Heather emailed everyone earlier this week and told us that she has decided to resign from her position of Public Relations Director for Amanda's Foundered Friends. She would still like to volunteer. Due to her extremely short notice, an amendment was added to the by-laws about resignation. Sheila will let her know the rescue needs to receive an official letter of resignation.
Article III Section 10 in the By-Laws will read as follows: "Any board member may resign at will with a written letter of resignation and must give a minimum of 2 weeks notice. Any information pertinent to the rescue or open projects must be shared with another board member prior to departure via phone call or in person."
Sheila reported that we got 20 bales of really awesome grass hay for a price of $100.00.
It was agreed upon that we shall wait on rescuing another horse right now due to funds being low. We need more donations first.
Sheila reported that her mom (Joy Campbell) bought AFF a blue EZ-Up at Kmart for $60.00. This is a great report because it will make our events outdoors much easier.
Funds are currently lower than our anticipated bills: Rosie's remaining vet bill (on Sheila's credit card) is $312.50 and the next payment is due by the 14th of June. We plan to attend 4 farmer's market nights at a total of $100.00. We need more beet pulp/flax seed/rice bran for Rosie at a cost of $70-80. We also need to invest in a liability sign, which Mitzi found available at Murdoch's for $29.95. This is essential before we have any at-the-rescue volunteers.
It is agreed that Rosie's supplements are first priority. Sheila will purchase Rosie's supplements in the next week, and we will have a couple fundraisers soon to help with other costs.
A few questions were raised on the farmer's market application, Sheila will call to find out what dates are still available and to get more info. We also set some tentative dates to attend: June 24th, July 15th, August 19th, and September 9th. Sheila and Joy will be setting up a booth at the gymkhana event in Collbran on May 31st. Sheila also reported that Joy and friend Vicky are planning a yard sale at the Plateau Valley Clinic- all proceeds go to AFF- on July 3rd & 4th. Dana has added this to the website under Upcoming Events. An ad was placed in the Plateau Valley newspaper, and Joy has posted signs around town to advertise the event and ask for donations to sell.
Need to get started on making our first newsletter; we need ideas of what to put in it. We decided to only run 4 per year (seasonally) to begin with. Discussion to name the newsletter, we may have a contest if no ideas come up soon; the winner would get a small souvenir of their choice.
Sheila asked Mitzi if she wouldn't mind going to Michaels and making a list of available colors of t-shirts, along with close up pictures for samples for the website for Dana and emailing them to her. Mitzi agreed and will do that soon.
Sheila reports that Joy can print out more brochures for us at her work, Plateau Valley Clinic, at a much cheaper rate than can a printing company, and will do so as we need them.
Sheila asked Dana if she wouldn't making some posters for our table that would explain more about what founder is and also making little 5x7 signs to draw attention to our pine needle baskets and horse hair bracelets and necklaces. Dana agreed and will get to work on them ASAP. Dana will add to the wish list that we need donations of horse hair.
Sheila reported that she thinks we should have discounts on souvenirs for board members and volunteers. This was agreed upon; BOD will get them at cost of item and volunteers will get 50% if they work a minimum of 5 hours a month.
Dana will update the website, including removal of Heather from the BOD page, the discount available to volunteers, and an application for volunteers.
Facebook and Twitter have been neglected lately, Sheila and Dana agree to take turns posting atleast one new item per week.
Next meeting was decided for June 26th at Sheila's at 5:30 or 6ish.
