AFF Meeting Minutes April 15, 2010
In attendance were Sheila Campbell, Mitzi DeMont and Dana Lysons.
Mitzi read minutes from March 5th meeting. Dana did treasurer report: we currently have $347.01 in checking and $40.00 in savings.
We gladly announced that we received a letter about our tax exempt status on April 15th: we are now a non-profit organization able to apply for and receive grants and to receive tax-deductible donations. We will start applying for grants asap, and Dana suggested that the ASPCA is a good place to start. Dana will start the research. McGraw-Hill, the company Dana works for, will also match her donations to non-profits. Our new status will also make signing up for a booth at the local Farmer's Market more affordable- the booth will now cost $25.00.
Rosie did get her eyes tattooed on April 10, 2010 at Amigo Animal Clinic. We received the bill on April 15th and the cost was $612.50. Sheila will check into percentage rates on her credit cards compared to leaving an open account at Amigo and paying monthly.
We report that we need to purchase hay for Rosie. We can start with only $100.00 in hay for now, which is about 20 bales.
Sheila and Dana reported that we received an email from a person who would like us to take their horse. It will cost minimum of $100 a month. Discussion on whether this is currently feasible. Sheila asked for help with care and Mitzi offered to help a few nights a week. Sheila also suggested each board member find enough people to donate at least $50.00 a month, this will help us with fundage. Dana and boyfriend Marco offered to pay for any costs incurred from another horse that the rescue cannot afford. Dana will contact the owner to confirm surrender to us.
It is decided that it is time to set up our sponsorship packages so that we have this available at the CACVT Conference the weekend of April 16th-18th. (Our wish list will be printed on the back of the sponsorship cards also.)
Our packages for sponsorship goes as follows:
Walking sponsor = donation of $5 - $25 a month
Entitles donor to their choice of one small AFF souvenir
Trotting sponsor = donation of $26 - $50 a month
Entitles donor to their choice of one small or large AFF souvenir
Cantering sponsor = donation of $51 - $100 a month
Entitles donor to their choice of 2 AFF souvenirs, 50% off at our events, and being placed on our "Wall of Fame" on the
website if they wish
Galloping sponsor = donation of $100 + a month
Entitles donor to their choice of 3 AFF souvenirs, 50% off at our events, and being placed on our "Wall of Fame" on the
website if they wish
All sponsors will also receive our quarterly e-newsletter, including pics of the equines. There will be a probation period of 3 months for sponsors before they receive their gifts and discounts. Also discussed offering an adoption discount to any person that has been sponsoring an equine for a year or more, will discuss this further in the future.
Anyone will have the option to signup for the newsletter, sponsor or not. We are now accepting donations by check, money order, cashiers check and paypal- which accepts all major credit and debit cards except AmEx. Paypal requires proof of our non-profit status, which Dana will take care of.
It is decided that if our first fundraiser goes well, we will sign up for the Farmer's Market on Main street, and we will attend 1 a month (total of 4). The weekly Farmer's Markets run from the last 3 weeks of June through the first 3 weeks of September. Now that we have our non-profit status, it will be $ 25.00 per market, for a total of $100. We will choose these dates at the next meeting when all board members are present.
Mitzi has agreed to go to a couple of horse stores in town to find a liability release sign to hang on the property in case of injury at our rescue. She will try the Horse in Sport, the Equestrian Market, and Murdoch's, and will check on prices.
Heather reports through Sheila that she filed our 990 tax return and has found some really awesome banner info. She will share this at the next meeting. Sheila reports on EZ-Ups, and that they are rather expensive. Used EZ-Ups start at $140. We will add this to our want list, and until we get one will look into borrowing one for any outdoor fundraisers we hold.
Set-up for the CACVT fundraiser will begin at 7 am on the 17th.
