MEETING MINUTES 02/12/2010

AFF Meeting Minutes 2/12/2010

In attendance were Sheila Campbell, Heather Redding, Mitzi DeMont, and Dana Lysons by way of webcam.

Mitzi read minutes from January 16th meeting.

Treasurer report: We have $321.30 in checking and $50.00 in savings.

Rosie had an appt Jan 30th to have her eyes tattooed, but being a stubborn mule refused to get into the trailer in order to go to Amigo Vet, and thereby missed her appt. We will try again later, till then we will be training her to get in the trailer consistently. Mitzi volunteered to help on Saturdays.

We will not be having our planned Easter Egg Hunt Ride as planned for April 10th due to not knowing that we have to get a permit from the BLM atleast 6 months in advance. Therefore we have decided to postpone it until next year; instead we will focus our efforts on attending local events, such as bake sales, info booths, and farmer's markets throughout the year. Discussion to think about planning a fall ride, easiest would be in a local arena rather than on blm land (no 6 month pre-requisite).

General discussion on what else can we do this spring in place of the egg ride. Murdoch's is having a spring event that we have been given the invite to attend. Not sure when it is yet, Mitzi will contact Matt Broe, the store manager of Murdoch's, for more information as it become available. The CACVT Conference is April 16th -18th in Grand Junction, Mitzi is still trying to contact Denise Mikita to find out if we may have a table and is having trouble getting ahold of her but will keep trying. Other available options are horse shows throughout the year, Sheila will look into finding a schedule of upcoming equine events. We could have a variety of items to sell: baked goods; rescue items- shirts, canvas bags, etc.; drawings by Dana; etc. Dana has a book full of horse games, she will go through and make a list of games that sound fun for a large group of riders; we will consider these for a fall ride.

Prep needed for spring/summer/fall booths: Sheila will purchase T-shirts and Canvas bags to begin screen painting. Also need to check into getting an ez-up and/or banner with the rescue's name and logo. Need to get business cards printed, Dana will email final business card changes to Sheila to send to Andrea Dufford for printing.

Mitzi was informed by Pam from The Horse in Sport that if we do host any events we need to have liability insurance in case someone gets injured. We were not sure if we can afford insurance yet, but we did have a question regarding our liability after riders have signed waivers at our events, especially if rescue horses are not involved. Mitzi will talk to her friend Todd Brock at State Farm Insurance for advice.

Two ads were placed mid-January for our horse rescue needing hay, one for 2 weeks in the GJ Free Press, the other for four weeks in the Nickel Want Ads. Sheila let us know that we got 2 positive calls so far from the ads, each person wanted to donate about 80 bales. That would mean about 160 bales which should feed Rosie for a year. If both of these pan out, we should begin thinking about rescuing another horse in the upcoming months. Sheila will ask local vets for referrals on any foundered horses that need adoption rather than euthanasia; if there aren't any by late spring perhaps we will go to a horse sale in Delta to rescue from a kill buyer.

Mitzi will ask the Fruita Co-op about donating feed and also about some events that they do throughout the year and if we may be able to participate.

We all looked at the Relinquish/Adoption forms that Dana sent through email and we all liked them, just need to personalize them for AFF. Question on adoption fees for horses- it has been decided it will depend upon each individual horse, dependant upon many factors.

Dana mentioned she has updated the website with a new picture of Mitzi and also she updated the business card and website by taking commas out of our mission statement. Heather and Sheila will work one weekend on getting good pictures of the rescue shirts to place them on the website for sale. It is time to start our products for sale page.

We received a letter from the IRS that they received our application for 501(c)(3) status in late January. No new word since; we went to the IRS website which said they are currently working on apps submitted in September. Sheila and Heather will recheck for our status regularly.

Our next meeting is scheduled for March 5th 2010 @ Sheila's @ 6pm.
