AFF Meeting Minutes from 01/19/2010
In attendance were Sheila Campbell, Mitzi DeMont, Heather Redding and Dana Lysons by way of webcam.
First order of business, reading of last meeting minutes read by Mitzi.
Second- Our 501(c)(3) form has been sent and received- the check sent with it has cleared.
Treasurer update on bank account funds- checking has $148.38 and savings has $50.00.
Sheila asked Mitzi if she would go to local papers to put an ad in for grass hay. Sheila will put together an ad to be placed soon.
Sheila, Mitzi, and her husband Brian got together on Saturday January 9th and painted more shirts. Mitzi has sold at least 6 shirts to people she works with. Donation minimums for shirts are : short sleeves- $15-20, long sleeves- $21-25, hoodies- $26+.
Sheila has decided to go ahead and have Rosie's eyes tattooed soon, the sun is far too hard on her eyes and causing medical issues. She will pay by credit card and AFF can pay that back. Also Sheila would like for the Rescue to take over paying for Rosie's feed if funds allow.
Mitzi hasn't heard back from Denise with the CACVT yet, she has emailed her a couple of times but hasn't gotten a response yet. She will try to call her soon as she is available at the CACVT office.
Dana has done some research and gotten new books about caring for rescue horses from both a personal and rescue perspective, and has some exciting news about rescue ideas but unfortunately misplaced her notes. She will find these for our next meeting.
Main discussion for this meeting was based upon our upcoming event- the Easter Egg Hunt Ride- on April 10th. Sheila has mentioned that she has a couple of friends that would be able to help with tables.
General discussion- What do we need to prepare for the event?
Refreshments- decided upon finger foods, healthy foods, chips, granola bars, trail mix, sunflower seeds, fruit (bananas, apples, pears, etc.)
Souvenirs to sell- shirts, canvas bags, and other things we can make ourselves. Dana has a couple of pieces of artwork she would like to donate to sell. Mitzi will ask Murdochs if they would want to donate a gift card or two.
Where are we going have the event? Sheila will call the BLM and see if and where we may have it, she thinks out towards Montrose (where there is lots of parking for trucks and trailers and lots of varying terrain) would be ideal.
Things we need to buy for the event- pillowcases, eggs, shirts, canvas bags and food. We need to get advertisement out there. We can place ads in local papers, and Dana will make a flyer to post around town, and Mitzi will put a few out with the donation boxes that she has dispersed throughout town.
What time will we start? Registration should start at 10am, then the ride to start at 11am. Staff should probably be there around 7 or 8am. Need to hide eggs the night before, so we can be ready for the ride!
Next AFF meeting is scheduled for 02/12/2010 @ Sheila's @ 6pm.
